The one change that could fix your timeblocks

A Purpose Driven Mom Podcast

Episode 490

In this episode of the Purpose Driven Mom Show, productivity coach Cara Harvey talks about the one change that could completely fix your time blocks. If you’ve been time blocking but still feel scattered, overwhelmed, or like your schedule never quite works, you’re not alone. Cara breaks down why this happens and how a small shift in how you structure your time can make a big difference.

This episode was inspired by a real coaching call where Cara audited a member’s time blocks and uncovered what was missing. She explains why not every goal needs to be worked on weekly and how batching tasks monthly or biweekly can reduce mental load. By planning ahead instead of constantly reacting, you can create a schedule that actually supports your life.

Cara also dives into why treating “home” as one big catch-all block often leads to frustration. She walks through how separating home, admin, and planning time blocks can help you stay focused, reduce burnout, and make space for personal goals and self-care. These simple adjustments are designed to be flexible, realistic, and easy to customize for different seasons of life.

Key Takeaways:

  • Why time blocking sometimes stops working (and how to fix it)

  • How batching tasks monthly or biweekly can reduce overwhelm

  • When full time blocks work better than 15-minute pockets

  • How to separate home, admin, and planning blocks for better focus

  • Ways to create a flexible schedule that fits real life

The one change that could fix your timeblocks

Cara Harvey (00:04.142)

Welcome to the Purpose Driven Mom Show. Here at Purpose Driven Mom, we believe that it’s possible to manage your home, work on your personal goals, and grow and scale an online business.

Most productivity tips out there tell you to hustle more and make you feel shame about not being motivated enough. And we’re here to dispel this myth. I’m Kara Harvey and I am on a mission to help work at home moms realize that they have the power to go after their dreams, take care of themselves and manage their home without perfectionism, guilt or having to sacrifice their sleep. If you’re ready to shift your thinking around productivity and get some practical tips to help you manage your mom life, toss your earbuds in while you fill the laundry and let’s do this.

Cara Harvey (00:44.77)

Have you been wondering how you can make AI and chat GPT a tool you use and not something that overwhelms or irritates you? I know I did not want any part in the AI when I heard about it a few years ago, but now chat GPT has become my personal assistant. I have put together 40 of my favorite prompts specifically for moms to help you manage your schedule, break down your goals, create meal plans and more. You can go to a purpose-driven mom.com slash AI prompts and grab these absolutely for free.

and start using the Chat GPT tools for good and helping your day feel lighter and better. That’s a PurposeTrippinMom.com slash AI prompts.

Cara Harvey (01:30.158)

Hello, welcome. I’m here live in our Facebook group to do a quick video. I’m also gonna repurpose this one and put it over on the podcast and YouTube. So you can go to a purpose to your mom.com such podcast 490. But I had to share this aha I just had on a coaching call. I don’t do a lot of one-on-one coaching, but I’ve been offering up to club members for the holidays and I was able to get off with this club member just now. And we audited her entire time block system. And I wanted to talk to you about how we audited it. And then the one week.

that I think is gonna make a huge difference and that you might be able to take away from this as well. So again, in the future, our purpose of Vermont.com is podcast 490 for any show notes that we’ll put up. And if you’re interested in one-on-one coaching, can just email Kara at KaraHarvey.com. I don’t always do it. I’m offering a holiday discount right now for one-on-one coaching, but I don’t always even do coaching at all. So if you come to me and email, I might be like, no, I’m not doing coaching right now, but give it a try if you want some help. So she came to me and was like, I’m feeling scattered. I’m feeling unfocused.

I am not sure what to do. And I said, let’s get your time blocks and what’s going on. Now this person had been a club member for years. They understand the methods, they understand what to do, but they were having trouble with something clicking in their time blocks. So we went through yesterday, we did our monthly planning for the Purpose of a Mom Club, and we talked about how to craft batches in advance and then add them to your time blocks. I’m gonna talk to you about that really quickly. Part of my process is you’re gonna go through, you’re gonna create your goals, you’re gonna decide what you wanna work on for…

the upcoming month, you’re gonna have those goals listed. Once you’ve gone through and you’ve taken your goals, we’re kind of then gonna put them together by category. We’re gonna say which ones are similar, which ones are personal, which ones are spiritual, which ones are health, which ones fit where, and make batch categories. Now a lot of people do this, but the other thing that I noticed a lot of club members weren’t doing was this piece where I ask you to say, how many times do you wanna hit this either a week or a month? And I say a month because,

We often think we have to have all the same time blocks every week. Nugget down. You could have it every week. You could have it every other week. You could have it twice a week, four times a week. It doesn’t matter as long as it fits the amount of time you want to spend on it. So if this person had a home goal, that is her top priority or tier one, we call them. So I said, you need at least one. If it’s a tier one, two more. So she picked four, I think three or four blocks to put into that week specifically for her home goal.

Cara Harvey (03:46.316)

And I mentioned that there are some times that you can have a bluff every other week or split them. And this was an aha she had, so I was like, maybe it’ll be an aha for somebody listening or watching. So in some times I will make a full time block, the three hours, like this is my theme. Now, if you know anything about the way I teach time blocking, it’s not saying you’re gonna spend a full three hours working on your home stuff. Now I teach the 15 minute formula because it works, friends. It is really about using your 15 minutes pockets of time.

to jump ahead and get momentum, to get started, to get going on a bull. That’s really what the 15 minute formula is all about. It works for so many goals, but sometimes bashing works better. And I’m gonna give you a real example of my own life with my cleaning routine. I follow the Clean Mama Plan. I like it. I’ve never been able to move past the weeklies though, because I was looking at it in the 15 minute formula lens. She teaches her system very similar to how I teach all productivity things, small things every day so it doesn’t feel overwhelmed and doesn’t add up.

That worked for me in the beginning when I was doing my daily tasks and I was like, it’s only gonna take me five minutes to do my laundry, folding. It’s only gonna take me five minutes to own all my dishes. And then I was trying to get the weekly tasks out of them. So I was putting the weekly tasks in, but I was putting them in in small tiny chunks. I was like, all right, today I’m just gonna do my mirrors. Today I’m just gonna dust. Today I’m just gonna vacuum. And that worked for a while. And then I found that I was struggling because I don’t feel like cleaning. I didn’t wanna do it every day. I was procrastinating. I was putting it off.

And so I was getting none of my cleaning done. And the past couple of weeks, what has happened for me was we had people visit on the weekend. And so I was like, crud, I still need to do a big clean. I’m just going to do all my cleaning on Friday. And it worked and it worked a couple of weeks in a row. And I realized, wait, this is a difference maker for me. So sometimes with your goals, you might want to say, I have a full block and I’m going to batch all my phone calls and batch all of this. And then there are other times with your goal, you’re like, I’m just tired. Like, I don’t want to work on my cleaning.

for an entire block. I just don’t some weeks. I want you to ask yourself, what do I need this week? So by doing that, you’re able to split a time block if you want, or have a full time block for one thing. The other auditing thing that we did that I wanna share with you today, because like I said, we audited all of her blocks and we were able to really make a good plan moving forward. I’m so excited about it. But the other thing that we did, we look at our home block as everything. Home is the catch all. So if I’m like, how many home blocks do you have? You’re putting.

Cara Harvey (06:08.448)

multiple home blocks in a week or you’re trying to figure out where it is. And in your home block, you’re cleaning, you’re cooking, you’re meal planning, you’re paying the bills, you’re doing the calendar, you’re doing the grocery shopping, you’re working on decluttering, you’re doing all those things. I don’t believe they all need to be done in a home block. Now, can they? Yes. But what I do think is more effective is if you break that home block into three sub blocks, all right? Home can still be one where you’re doing the cleaning, the cooking, all those things. But I also want to encourage you to

Plan out an admin block. Now I’ve talked about admin blocks on the show before. You can go back and listen to those episodes. I’ve talked about them in podcast, the Facebook group. if you’re on Facebook, go and join our group to search for a Distributor Mom community where I do lives and pop-ups like this all the time. Your admin block is different than your home block. So she was getting her bill paid, her meal plan, getting her groceries ordered in her home block. And I said, what if instead you moved that to an admin block and you did all of those things during admin time?

because what she was also doing was during her self-care block was doing some of her cleaning routines. So we wound up switching, take cleaning out of the self-care block, putting it into the home block, and then taking the bill pay and the administrative things that come with running a home and a life and things like that, and making a simple once a week admin block, and not even a full block, a half a block, where she was like, I’ll just bang out all the admin stuff.

Cara Harvey (07:34.222)

pause and invite you to get my brand new reading tracker and planner. One of the cool things we’re doing here at APDM is monthly I’ll be coming up with a new printable to help you with your goals and I’m a huge reader so I made this for myself and let’s put it together for our audience. Cara Harvey (08:18.412)

The other swap we made was we made a planning block. This was awesome. Instead of the finance. So she had a finance goal where she every day like reconciles her stuff. It just happens habitually now, but it was also like looking ahead, looking at different quarterly finance goals, working on the sinking funds. She was doing that during her home block. Instead of doing it during home block, I said, what if you put a planning block every

other weeks. So don’t even need to fit it in every week if you don’t want to. You can, but you can do your weekly planning. You can do a monthly meal plan. You can batch these things ahead. And part of the win here is that it doesn’t occupy your brain space. It doesn’t occupy your time. You’re not constantly thinking like, I got to go do my weekly meal plan. When you bang out a monthly one, I got to go do my, you know, monthly planning or my calendar. Well, you’ve already done it. And I started to this with my podcast.

Um, and I swapped this. So I used to do one podcast day every other week, um, where I would take the full day and I would just record a ton of episodes, outline about, I would just do that. It’s like, I don’t really have the energy all the time to do it. It doesn’t always align with my cycle. Like the week of my cycle of my period, I don’t want to be on camera. I don’t want do any of that. Right. So I was like, I don’t feel like doing this. And what if I miss it? So I switched instead of doing four episodes every other week or once a month.

I do one episode a week and it works for me. And sometimes I double dip like this where I’m recording a live for you and I’ll put it on the podcast. This works for me sometimes and it doesn’t have to occupy my brain. That’s the other reason I like batching. So right now I’m recording this and I was like, you know what, let’s put it on the podcast. It’ll come out in December. I have one more episode and I’m done recording for December. That means the whole year will be done. And then I can take a month of not thinking about my podcast and then I’ll get back. Actually, my plan is November is to record all January’s and then I can take

December and I don’t have to think about the podcast at all. I’m still ahead and I can take a mental load break. And I think when you split and tweak your time blocks like that, when you look at it and you’re like, let me split up, planning home and admin. Let me ask myself, do I need this every week or every other week? When I say, what can I batch ahead versus not? What can I couple together? What can I add in? I do this where like my affiliate stuff does not take me long. So I either choose to do one full block every other week for affiliates or I do half a block every week.

Cara Harvey (10:40.682)

It lets my brain just breathe a little bit. And then each week, so what we did was we made the template for her for November. And then I told her each week, what I want you to do is go in and adjust based on what your schedule looks like, adjust based on appointments and things like that. And then she works full-time outside the home. Well, she has two work from home days, but she has like a typical quote, nine to five type of a job. So we also made this schedule with 10 blocks where we put work in, right? So out of her work blocks, had just, she had 35 blocks.

25 of them were work. 25 of them we couldn’t even touch when it come to personal stuff. But guess what? We were able to fit in her personal goals, her finance goals, her self-care goals, the admin, the planning, the home, and still have six blocks. I get one blank block a week right now. I was like, oh, I need to look at my schedule. Because if I’m given help and her get six blocks, I want at least two, right? It’s possible.

As you go into the holidays, it gets busier. And again, this is going to come out on the podcast of PurposefulMom.com. It’s a podcast for 90 in December. So as you’re thinking about the new year, you’re going to have more time, less time. It’s all about how you customize it. But if you have a template and a framework, then you’re able to make it work. So I hope that you were able to take this quick tip. If you’re watching on the Facebook group while I’m, when I recorded this today or throughout the week, comment your thoughts, your questions, whatever.

And I’ll let you know my answers to that.
